of Information collected - in my role for my organisation includes
some or all of the following:
- Names, home and/or work address, contact details (phone numbers & email addresses), any recognised prior learning that contributes to a current level of study, professional registration details if applicable. Additional sensitive information may be obtained such as any disabilities, medical conditions or additional learning support
- My organisation use a bookings portal for participants to register and book courses through, this platform keeps a record of training a participant has attended and an account of any CPD hours accrued via such training.
- Evaluation is requested (anonymously) from all participants that attend courses.
- Within my own workstream we also maintain a database of those attending our courses, it records which course they attended (location and date), what date their portfolio is due for submission, the date marking begins, any crossmarking requirements for quality assurance purposes (also what date a crossmark is carried out and by who), if any amendments required what date resubmission is, amendment marking date if applicable and marking completion date followed by certificate issued date.

Collected – What it is used for
- The portal data provides a record of courses attended and CPD hours accumulated, also registers for course attendance are generated from here. As the portal contains contact information this will be used if contact with a participant is required. It also enables them to be notified of any courses relevant to their profession. A participant can opt out of receiving any information.
- From our workstream database we can track when a portfolio was started to be marked, any amendment requirements, if submission dates have been missed, if any training days have been missed and need to be completed elsewhere, if there are any educational closures and also any additional notes relevant to a participant such as additional learning support. This also enables the production and issue of course completion certificates that document CPD hours.
- Evaluation is a key component to allow reflective practice both personally and professionally and is key to continued improvement in training delivery.
- NHS Education for Scotland (NES) utilises the information for reporting purposes so that they can evidence and demonstrate what courses are being delivered, to how many participants, in what locations across Scotland and in what curriculum/educational topics. Data can also be utilised to identify any gaps in training delivery and enable future planning in educational delivery for NHS Scotland.
